Simply put – we’re looking for a top-notch administrative whiz; someone who can keep the Managing Partner of our Toronto Office organized, manage their calendar with ease, and keep a wide variety of office initiatives moving.

This is a part-time role (Monday-Friday 20 hours per week) in a hybrid work environment.

Qualifications

  • Previous executive or administrative assistant experience, preferably in a professional services or consulting environment
  • Highly accountable and organized with excellent time management skills
  • Strong working knowledge of the MS Office Suite, Teams, SharePoint and Zoho (or ERP)
  • Very comfortable with setting up technology for meetings (e.g., Zoom, Webex, Teams)
  • Strong calendar management skills
  • An ability to arrange and attend internal and external meetings in person and virtually, as required
  • Possesses strong time management skills; can prioritize work effectively and juggle multiple projects with minimal supervision
  • Strong writing skills, particularly for correspondence
  • Excellent interpersonal skills
  • Flawless attention to detail
  • Professional attitude and demeanor
  • Ability to work with a sense of urgency

Responsibilities

  • Liaise with clients and their support staff as required
  • Conduct basic research to support mandates undertaken by the Managing Partner
  • Keep Managing Partner informed of work in progress
  • Keep Managing Partner organized and aware of important deadlines
  • Develop and share team communication materials
  • Handle a wide range of administrative duties in support of the Managing Partner and members of our Senior Leadership Team
  • Participate on internal committees and in planning of company initiatives
  • Work cooperatively with other NATIONAL offices as required
  • Assist with preparing accounts payable logs
  • Assist with maconomy entries, as needed
